Switching to PDM often costs less than you might think.

There is a serverless alternative: 3DEXPERIENCE PDM Cloud, designed to be deployed in just a few days. Starting with SOLIDWORKS Design Standard, 3DEXPERIENCE PLM Standard is integrated, and the same platform covers PDM, PLM, and EDM in a single environment.

A PDM (Product Data Management) system is software that centralizes a design office’s design files and ensures that everyone is working on the correct version. Your colleague can view it, but cannot overwrite it. This puts an end to the classic situation where «we were both working on the same file, and we lost one of the two versions.».

The versioning : Each save creates a timestamped version. Restoring to the state from three weeks ago takes just a minute—no need to dig through backups.

The managed references : A SOLIDWORKS or CATIA assembly references dozens of part files. If you rename or move a part on a standard server, the assembly breaks. PDM maintains these links for you, making it safe to rename, move, or duplicate a project.

What specific problems does a PDM solve?

If your engineering firm relies on a file server, you're already familiar with the list.

First, the broken references. A project copied to serve as the basis for the next one, a file renamed, and the assembly opens riddled with errors. Hours of rebuilding, several times a year.

Then there are the overwrites. Two designers, one file, and the first designer’s work gets overwritten by the second’s. No one notices until the project review.

Searching, at last. Finding «the version of the material we approved for Client X» in a folder tree is like an archaeological dig. A PDM searches through file properties: material, item code, project, and approval status. Results in seconds.

There is a fourth, less obvious problem: the recreation of existing pieces. When a part can't be found, it's redesigned. It is then entered twice into the database, twice into the bills of materials, and sometimes twice in the supplier's system. Each duplicate entry results in extra costs for purchasing, inventory, and confusion.

And for companies that are certified or in the process of becoming certified ISO 9001, change tracking isn't just a convenience—it's an audit requirement. A PDM provides this capability out of the box.

PDM, PLM, EDM: What Are the Differences?

The three overlap, which is why there is confusion. Brief definitions:

The GED (electronic document management) manages office documents: PDFs, contracts, and invoices. It does not recognize links between CAD files.

The Product Data Management manages design data: CAD files, versions, part numbers, and bills of materials. His or her domain is the design office.

The PLM (Product Lifecycle Management) extends this approach to the entire product lifecycle: design, as well as manufacturing, procurement, quality, and maintenance. It encompasses the entire company.

In practice: PDM is the foundation, and PLM is the next level up. You start by getting a handle on your design data, and then you expand from there.

This division into separate products is, in fact, disappearing. On the 3DEXPERIENCE platform, the three tiers (EDM, PDM, PLM) coexist within a single environment: the same database, the same user accounts, and the same interface. You start with design file management and activate the higher levels as needed, without migration or new tools. We’ve detailed what the PLM layer brings to an industrial organization in our article on cloud-based PLM for small and medium-sized businesses.

At what point do you need a PDM?

The threshold is lower than you might think. The pattern we see among our clients: As soon as two people are working on the same assemblies, the file server ends up costing more than the PDM system. The cost is simply invisible: it’s spread out across lost hours, reworked errors, and recreated parts.

The signals that trigger the transition, in the order in which they appear:

Two or more designers share assemblies. File locking becomes necessary.

A project has already been lost or resumed due to a crush or a broken reference.

Remote Work or Multi-Site Operations The problem arises: The VPN connection to the file server makes the CAD software unusable remotely, and local copies start to proliferate.

ISO 9001 Certification requires tracking changes and approvals.

Outsourcing requires the exchange of clean datasets in the correct version.

Just one designer, short projects, no certification? A consistent naming and organization system is still enough. Our Guide to Organizing Your CAD Files and The Method for Documenting a Project cover this stage. But it's a temporary reprieve, not a solution.

PDM Solutions Based on SOLIDWORKS and CATIA

Two worlds coexist within the Dassault Systèmes ecosystem: the legacy desktop PDM, which is widely used in the installed base, and the 3DEXPERIENCE cloud-based data management solution, which we recommend and deploy.

Let's start with the traditional desktop environment, because you'll come across it. SOLIDWORKS PDM Standard (included with SOLIDWORKS Professional and Premium licences; single-site platform: vault, versions, locking, search) and SOLIDWORKS PDM Professional (multi-site, advanced workflows, ERP connectors, access for non-CAD roles) are used by a large portion of the installed industrial base. If you’re already using them, they work, and there’s no rush. But if you’re starting from scratch in 2026, our position is clear: that’s no longer where you start, because it requires a server, backups, and administration—all of which the cloud has made optional.

3DEXPERIENCE PDM Cloud, that’s our recommendation and what we implement for our clients. It moves everything to the cloud, and that’s the game-changing innovation for small organizations: a PDM designed from the ground up to be easy to deploy and easy to use. No servers to install or back up, no Windows Server licences, no database administrator: design data resides on the platform, is automatically versioned, and is accessible from the office, home, or shop floor—directly from the SOLIDWORKS interface. Deployment takes days, not weeks. It is now the fastest gateway to PDM for an SME without an IT department.

The thing that many people don't know: Starting with SOLIDWORKS Design Standard, the 3DEXPERIENCE PLM Standard is integrated. In other words, data management is no longer an add-on to CAD; it’s included in the base licence. And as your needs grow, the same platform scales up without changing the environment: SOLIDWORKS PLM Standard, then PLM Professional and PLM Premium add advanced bill of materials, validation processes, and full lifecycle management, all based on the same data. Our page data management describes the levels, and our Comparison of SOLIDWORKS and 3DEXPERIENCE Market Share Help choosing between a server and the cloud.

Local Server or Cloud: How to Choose?

Our take, after dozens of deployments: The cloud by default; a local server only when justified.

A local server-based PDM (PDM Standard or Professional) is the right choice when the infrastructure is already in place, when an IT department manages it, or when a client requirement mandates that data remain on-site. It requires a properly sized server, tested backups, and someone to manage it.

3DEXPERIENCE PDM Cloud eliminates all of that. It can be deployed in days rather than weeks, scales with the company as it grows (up to a full PLM solution on the same platform), and solves the issue of remote work without a VPN. For an SMB with 2 to 20 CAD workstations and no dedicated IT staff, the decision is a no-brainer.

And contrary to what you might think, the cloud is also the most secure option for most small and medium-sized businesses. Your design data is your most valuable asset, and on a local server, it’s at the mercy of a failing hard drive, theft, fire, or ransomware—with backups that are rarely tested. On the 3DEXPERIENCE platform, Dassault Systèmes manages the infrastructure: automatic backups, encrypted data transfers, granular access rights by user and by project, and business continuity guaranteed by the publisher—all within a certified framework. ISO 27001 (the international standard for information security management). Few industrial SMEs can afford this level of protection in-house.

A legitimate concern: data localization. On the 3DEXPERIENCE platform, data is stored based on the customer’s region: a European company has its data hosted in Europe, while a North American company has its data hosted in North America. And for cases where sovereignty is a contractual requirement (defence, nuclear, sensitive government contracts), there are hosting options on Outscale Cloud by Dassault Systèmes, qualified SecNumCloud by ANSSI, the highest level of cloud security certification in France. Let’s talk about it.

How much does a PDM cost?

The honest answer: often less than expected, because the licence isn't the biggest expense.

On the 3DEXPERIENCE platform, PLM Standard is included starting with SOLIDWORKS Design Standard: if your licences are recent, the data management foundation is already covered. The model is a per-user subscription, with no servers required, and the price simulator provides a price range in two minutes, including setup. On the desktop side, if you’re using SOLIDWORKS Professional or Premium, PDM Standard is included in your licence: your budget is then focused on the server, implementation, and training.

The real calculation lies elsewhere: figure out the cost of just one day spent rebuilding a broken assembly, or of a part ordered twice, and compare it to the monthly subscription fee. It’s usually that calculation that makes the difference, not the licence price.

How is the implementation going?

There are two approaches, and the choice depends mainly on the condition of your data and the pace your team can handle.

Planned Migration, the traditional approach. We set everything up before switching over:

Audit of existing data. Where are the files? How many duplicates are there? What are the naming conventions? It's time to clean things up: migrating the mess just locks it in place.

The structure of the trunk. Projects, properties, statuses (in progress, pending approval, approved), access rights. Spending half a day thinking this through saves months of workarounds.

Migration. The files are added to the vault, with their references corrected along the way.

Workflows. Who approves what, and what happens after approval (version lock, PDF publication, etc.).

Training. PDM changes designers' daily routines. Without training, they find ways around it, and the system dies within six months.

Migration Along the Waterways, a more recent solution made possible by the cloud. It’s a full-scale proof of concept, and it’s the approach we’re promoting at Ohmycad: our three-month trial offering, during which the team gets started on 3DEXPERIENCE PDM Cloud and migrates data at the pace of their actual work. You’re not left to figure out the platform on your own: an Ohmycad CAD/PDM engineer sets up the foundation at the start and then stays by your side throughout the three months to transition one ongoing project, then the next; each reused part is added to the repository exactly when it’s needed. The side effect is invaluable: old files that have never been requested are left behind, and the archives are sorted naturally, without the massive cleanup effort that everyone dreads. At the end of the three months, we take stock together: the team knows whether the tool is right for them, the repository already contains active data, and you make an informed decision—not based on a demo.

Our take: Migration “as you go” is the best approach for a small or medium-sized business that’s on the fence, while planned migration remains the best option for restoring a complete history or for a site with certification requirements.

In either case, there's no need to start from scratch: our offerings Quickstart They streamline the launch process. A Quickstart module (CA$750) covers the initial setup of a PDM/PLM module: repository configuration, first users, and basic operations; Quickstart+ (CA$1,500) goes further into structuring and workflows. This format makes the PDM operational from the very first month, without the need for an IT project. And after going live, our teams remain available on a daily basis via Ohmycare, our support team, which includes a dedicated CAD/PDM engineer.

FAQ

Frequently asked Questions

<details class="omc-faq__item">

Is PDM only for large companies?

No. The practical threshold is two designers sharing assemblies. Current offerings (PDM Standard included in SOLIDWORKS Professional/Premium, 3DEXPERIENCE PDM Cloud via subscription with PLM Standard integrated starting with SOLIDWORKS Design Standard) have removed the entry-cost barrier that once limited PDM to large enterprises a decade ago.

</details>
<details class="omc-faq__item">

Can SOLIDWORKS be used without PDM?

Yes, and a single workstation can function just fine without it, as long as you’re disciplined about keeping things organized. The risk arises when multiple people are working together: data overwrites, broken references, and conflicting versions. At that point, doing without it ends up costing more than buying the equipment.

</details>
<details class="omc-faq__item">

What is the difference between PDM Standard and PDM Professional?

The Standard edition covers a single site with core features (repository, versions, locking, search). The Professional edition adds multi-site support, advanced workflows, ERP connectors, and access for non-CAD business users. But if you’re wondering which solution to choose today, frame the question differently: the 3DEXPERIENCE cloud PDM covers both scenarios without requiring a server, and that’s where we recommend you start.

</details>
<details class="omc-faq__item">

How long does a deployment last?

From a few days for cloud data management by a small team to a few weeks for a server-based PDM system involving historical data migration and workflows. The main factor isn’t the tool—it’s the condition of the data to be migrated. And if the condition of the data is precisely the sticking point, a phased migration (three-month trial) allows you to get started without a major cleanup beforehand.

</details>

Wondering if your engineering firm has reached the threshold?
