A PDM (Product Data Management) system is software that centralizes a design office’s design files and ensures that everyone is working on the correct version. In practice, it replaces the shared file server, local copies, and file names by _final_v2_OK through a single vault, with version history and access rights.

What exactly is a PDM?

PDM stands for Product Data Management: CAD files, drawings, bills of materials, and related documents, all stored in a single repository that tracks who modified what, when, and why.

Three features set it apart from a simple shared folder.

The check-in / check-out : When you open a document to edit it, it is locked for others. Your colleague can view it, but not overwrite it. This puts an end to the classic situation where «we were both working on the same file, and we lost one of the two versions.».

The versioning : Each save creates a timestamped version. Restoring to the state from three weeks ago takes just a minute, without having to dig through backups.

The managed references : A SOLIDWORKS or CATIA assembly references dozens of part files. If you rename or move a part on a standard server, the assembly breaks. PDM maintains these links for you, making it safe to rename, move, or duplicate a project.

What specific problems does a PDM solve?

If your design office relies on a file server, you're already familiar with the list.

First, the broken references. A project copied to serve as the basis for the next one, a file renamed, and the assembly opens riddled with errors. Hours of rebuilding, several times a year.

Then there are the overwrites. Two designers, one file, and the first designer’s work gets overwritten by the second’s. No one notices until the project review.

Searching, at last. Finding «the version of the material we approved for Client X» in a folder tree is like an archaeological dig. A PDM searches through file properties: material, item code, project, and approval status. Results in seconds.

There is a fourth, less obvious problem: the recreation of existing pieces. When a part can't be found, it's redesigned. It is then entered twice into the database, twice into the bills of materials, and sometimes twice in the supplier's system. Each duplicate entry results in extra costs for purchasing, inventory, and confusion.

And for companies that are certified or in the process of becoming certified ISO 9001, change tracking isn't just a convenience—it's an audit requirement. A PDM provides this functionality out of the box.

PDM, PLM, EDM: What Are the Differences?

The three overlap, which is why there is confusion. Here are the brief definitions:

  • The GED (electronic document management) manages office documents: PDFs, contracts, and invoices. It does not recognize links between CAD files.
  • The Product Data Management Manages design data: CAD files, versions, part numbers, and bills of materials. His or her domain is the design office.
  • The PLM (Product Lifecycle Management) extends this approach to the entire product lifecycle: design, as well as manufacturing, procurement, quality, and maintenance. It encompasses the entire company.

In practice: PDM is the foundation; PLM is the next level up. You start by getting a handle on your design data, and then you expand from there.

This division into separate products is, in fact, disappearing. At what point do you need a PDM?

The threshold is lower than you might think. The pattern we see among our clients: As soon as two people are working on the same assemblies, the file server ends up costing more than the PDM system. The cost is simply invisible: it’s spread out across lost hours, reworked errors, and recreated parts.

The signals that trigger the transition, in the order in which they appear:

  1. Two or more designers share assemblies. File locking becomes necessary.
  2. A project has already been lost or resumed due to a crush or a broken reference.
  3. Remote Work or Multi-Site Operations The problem arises: the VPN connection to the file server makes it impossible to use the CAD software remotely, leading to a proliferation of local copies.
  4. ISO 9001 Certification requires tracking changes and approvals.
  5. Outsourcing requires the exchange of clean datasets in the correct version.

PDM Solutions Based on SOLIDWORKS and CATIA

Let's start with the traditional desktop environment, because you'll come across it. If you’re already using it, it works, and there’s no rush. Local Server or Cloud: How to Choose?

Our take, after dozens of deployments: The cloud by default; a local server only when justified.

A local server-based PDM (PDM Standard or Professional) is appropriate when the infrastructure already exists, when an IT department manages it, or when a client requirement mandates that the data remain on-site. It requires a properly sized server, tested backups, and someone to manage it.

It can be deployed in days rather than weeks, scales with the company as it grows (up to a full PLM solution on the same platform), and solves the issue of remote work without a VPN. For an SMB with 2 to 20 CAD workstations and no dedicated IT staff, the decision is a no-brainer.

And contrary to what you might think, the cloud is also the most secure option for most small and medium-sized businesses. Your design data is your most valuable asset, and on a local server, it’s at the mercy of a failing hard drive, theft, fire, or ransomware—with backups that are rarely tested. How much does a PDM cost?

The honest answer: often less than expected, because the license isn't the biggest expense.

On the 3DEXPERIENCE platform, PLM Standard is included starting with SOLIDWORKS Design Standard: if your licenses are recent, the data management foundation is already covered. The model is a per-user subscription, with no servers required, and the price simulator provides a price range in two minutes, including setup. On the desktop side, if you’re using SOLIDWORKS Professional or Premium, PDM Standard is included in your license: your budget is then focused on the server, implementation, and training.

The real calculation lies elsewhere: figure out the cost of just one day spent rebuilding a broken assembly, or of a part ordered by mistake, and compare it to the monthly subscription fee. It’s usually that calculation that makes the difference, not the license price.

How is the implementation going?

There are two approaches, and the choice depends mainly on the condition of your data and the pace your team can handle.

Planned Migration, the traditional approach. We set everything up before switching over:

  1. Audit of existing data. Where are the files? How many duplicates are there? What are the naming conventions? It’s time to clean things up: migrating the mess just locks it in place.
  2. The structure of the trunk. Projects, properties, statuses (in progress, pending approval, approved), access rights. Spending half a day thinking this through saves months of workarounds.
  3. Migration. The files are added to the vault, with their references corrected along the way.
  4. Workflows. Who approves what, and what happens after approval (version lock, PDF publication, etc.).
  5. Training. PDM changes designers' daily routines. Without training, they find ways around it, and the system dies within six months.

Is PDM only for large companies?

No. The practical threshold is two designers sharing assemblies. Can SOLIDWORKS be used without PDM?

Yes, and a single workstation can function just fine without it, as long as you’re disciplined about keeping things organized. The risk arises when multiple people are working together: data overwrites, broken references, and conflicting versions. At that point, doing without it ends up costing more than getting the right equipment.

What is the difference between PDM Standard and PDM Professional?
